Link Personnel are hiring a Legal Secretary on behalf of our client, a Global Law Firm, with offices in Dublin 2.  The successful candidate will provide secretarial and administrative support to the partners and associates (and other principles) in FSG. Additional ad hoc support may be required.  Main duties will include billing, diary management, preparation of documents / correspondence & Travel Management as well as performing a wide variety of other routine administrative tasks for the office.   Call Orla on 01 8456312 for details

The main Role:

  • Billing on a daily basis which includes generating invoices and collating accurate details for narratives / cover letters.
  • Liaise with clients, investigating and responding to invoicing requests where appropriate.
  • Submit time entries in Carpe Diem for allocated fee earners (associates / partners).
  • Diary Management – Manage fee earners (associates / partners) Team & Outlook calendars.
  • Main point of contact between clients and internal staff for meeting co-ordination.
  • Responsible for co-ordinating conference calls, booking of meeting rooms, AV Services and catering requirements.
  • Organise travel arrangements and complete travel and expense reports in Concur.
  • Manage process for opening of new matters to include letter of engagement & CDD (Client Due Diligence) checks.
  • Prepare new matter reports and update list of client/matter codes.
  • Responsible for completion and submission of Intapp forms.
  • Preparation of legal documents (Inserting comment, red lines, redacting etc.)
  • Handle written and electronic correspondence, including organising and sending materials to clients.
  • Manage process and take ownership for CPD (Continued Professional Development) for all Irish Practising fee earners (associates / partners).
  • Create and update comprehensive contact information using Dechert CRM best practices.
  • Responsible for self-management and updating of Service Now.
  • Responsible for updating information in WorkDay.
  • Maintain electronic filing to Firm standards including Kwiktag.
  • Utilise iManage document management system for all documents.
  • Maintain up to date hand over notes to ensure consistent quality of service.
  • General admin duties to include, printing, binding, laminating etc.
  • Responsible for updating of Secretarial Manual.
  • Provide reception cover.
  • Meet and greet.
  • Answer phones, transfer calls, take messages and check voicemail.
  • Any other ad hoc requests or project work as reasonably requested.
Skills Required: 
  • English fluency at native or bilingual level.
  • Typing 65wpm and proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent interpersonal and organisational skills.
  • Ability to maintain confidential information.
  • Ability to be reactive to anticipate Partners need and requirements.
  • High attention to detail and ability to multi-task.
  • Ability to prioritise and coordinate work.
  • Ability to complete assignments within agreed deadlines by prioritising workload.
  • Ability and willingness to learn new skills as they become necessary.
  • Practice and foster an atmosphere of teamwork and cooperation.
 Education and experience
  • Secondary level education required; university studies preferred.
  • Previous legal secretarial experience in a law firm preferred.
