A well-established law firm in Malahide is seeking an experienced Legal Secretary to support its Conveyancing team on a 12-month maternity contract. This role will suit someone who enjoys a steady workflow, values structure, and takes pride in delivering reliable administrative support in a client-focused environment. The role is office based and offers a very competitive salary. Hours are 8.30am to 4.30pm with 45 minutes for lunch.
Role purpose
Provide day-to-day secretarial and administrative assistance to Solicitors in the Conveyancing department, ensuring files progress smoothly and clients receive an efficient, responsive service.
Key responsibilities
• Managing dictations and producing accurate, well-formatted documentation
• Supporting conveyancing transactions from initial instruction to completion
• Preparing, editing and finalising contracts, closing documents and related forms
• Handling Land Registry and Registry of Deeds filings
• Maintaining and updating files on Cortbase
• Liaising with clients, lenders, estate agents and other solicitors
• Managing correspondence, diary scheduling and general office tasks
• Maintaining organised electronic and paper filing systems
• Assisting with any other administrative needs within the team
Skills and experience required
• Previous experience as a Legal Secretary in Conveyancing
• Strong dictaphone typing skills with excellent accuracy
• Proficient in Cortbase case management (training provided where needed)
• Confident handling volume work and meeting deadlines
• Clear communication skills and a professional manner
• Strong attention to detail and a proactive approach
