The Role

To provide cover for the Reception team and to support the efficient running of the mail, print and records management and facilities services for the office.

Duties include:

Relief Receptionist

  • Provide back-up cover for the Reception team’s planned and unplanned absences
  • Provide excellent frontline service to clients, make visitors feel welcome and present an excellent first impression of the firm.
  • Manages a busy computerised telephone system promptly and efficiently.
  • Responsibility for the efficient running and upkeep of the client meeting room / conference area.


  • Supports the Office Services, Facilities and Reception teams in providing a high quality, seamless service to the office
  • Supports with stock control and replenishment of general office supplies
  • Conducts the daily banking duties (including bank runs) and outgoing mail runs
  • Meets deadlines by working efficiently and maintaining a high level of productivity
  • Takes full responsibility for quality and accuracy checking of all outgoing work
  • Other duties as may from time to time be reasonably required

Support for the General Office Team

Provides absence cover and general support fulfilling responsibilities including:

  • Supporting office and desk planning and the set up for new starters (in conjunction with the IT Team)
  • Records management tasks including timely recording, storage and retrieval of the firm’s legal documentation/records to/from onsite Strong room and offsite storage facility and responding to reactive requests
  • Reprographics, occasional high-volume photocopying, printing, scanning and binding of documentation in line with the firm’s presentation standards. Ensure printers/copiers are adequately and correctly loaded across the office.  Corrects machine issues (e.g. clears paper jams, refill toner etc. Organise service calls as required)
  • Induction training for new hires on use of Photocopier/Printer/Scanner and General Office equipment
  • Collect and process outgoing mail (sort and frank outgoing post, registered post and DX post)
  • Handle incoming and outgoing deliveries via courier in-house booking systems (when required)

Health & Safety

  • Ensures compliance with all procedures relating to Health & Safety and safe working practices and statutory requirements related to the respective service area.

Knowledge, skills and experience required (bespoke to role)

Our ideal candidate will need the following skills:

  • No prior experience required, full training will be provided
  • Conscientious with excellent attention to detail
  • Excellent time management, prioritisation and organisation skills
  • Self-motivated and disciplined
  • Ability to stay calm under pressure and work to deadlines
  • Team player
  • Ability to communicate effectively
  • IT literacy in MS packages (Outlook; Word; Excel) etc
  • Flexibility to work beyond core hours to meet client needs
  • Ability to create and maintain accurate records
