Link Personnel have been retained to hire an Office Manager for our client, an International Professional Services Firm in Cork.  If you enjoy a varied role, this is the one for you!

In this role you will be responsible for all aspects of facilities management in the  Cork office.
Working closely with the facilities team in Dublin, this is an all-round office management role. You will also be providing administrative support to the team in Cork. This is a busy role where you will be working with some of the best legal and professional talent in Ireland and will have access to on-going training and development programmes. The role is a 50/50 split between office management and administration duties and will suit an experienced professional who is self-motivated and can work on their own initiative.

Salary:  to €40K depending on experience

The Role:

  • Collaborating closely with the facilities management team to ensure all the facilities in the Cork office are working effectively.
  • Ensuring accurate recording and processing of all invoices.
  • Carrying out daily / weekly building inspections ensuring all office accommodation is
    maintained to a high standard and taking action where required
  • Providing administration support for a variety of vendor documentation including maintenance, catering, security, cleaning and plant equipment vendors, waste management and car parking.
  • Leading by example in respect of H&S, compliance with statutory and contractual legislative requirements.
  • Assisting with space planning, coordinating desk moves and maintaining up to date seating plans.
  • Providing administrative support to the Partners, managing diaries, inbox and e-filing.
  • Liaising between HR and team re on-boarding, set-up and training of new team members.
  • Organising business travel arrangements, including flights, transportation, and
    accommodation for Partners.
  • Liaising with other internal teams.
  • Taking responsibility for document management.
  • Issuing conflict checks, letters of engagement and opening new matters (in compliance with AML), archiving closed files.
  • Updating client information on the CRM system.

The Candidate: 

  • You have a good understanding of Office Management and at least 5 years’ experience in a corporate environment.
  • You are dependable and flexible and have the ability to work in a reactive and ever changing environment
