Our Client is a highly successful Irish Owned Business based in North County Dublin and currently has a vacancy for a Receptionist/PA.  This is a busy and varied role and will suit a candidate who likes to multi-task!

Salary :  to 33K

The Role:

• Reception / PA desks are covered at all times
• All queries are answered in a reasonable time and in a professional manner
• Completion of all administrative tasks as required
• Ensuring all logs/trackers are maintained to a high standard

Responsibilities:

  • Reception
    • Post – opening, stamping and distribution of incoming post and organisation of outgoing post including maintaining trackers
    • Travel – managing the booking, recording and allocating of cost against the company credit cards.
    • Couriers – booking, tracking and matching of couriers costs against invoices from suppliers.
    • Use P2P system Metastorm to raise purchase orders as required
    • Stationery ordering and maintenance of stationary cabinets (collation of the order for SSC and Finance), raising the order and checking order against invoice and approving on Metastorm
    • Answer all incoming calls and directing to the appropriate employee
    • Point of first contact for all visitors / customers / suppliers
    • Maintain log of all visitors / customers / suppliers entering building
    • Receiving and recording cash/cheques on tracker for the business
    • Managing the booking of all Meeting Rooms onsite.
    • Flexibility required as may be requested to work on the company’s other sites
    • Any other duties as required

Directors PA (16 weeks Holiday Cover)

Provide cover for the PA’s to the Directors.  This will be for up to 16 weeks per year.
• Taking calls for Directors and dealing with them as appropriate – ensuring calls have been actioned / followed up.  Maintain accurate phone messages and track response to important callers/clients.
• Event Management – liaising with internal and external companies/supplier for entertainment/hospitality and logistics
• Oversee personal bookings  / personal requests i.E. Car tax/car service/couriers/dinner reservations/transport
• Daily relief for reception switchboard for breaks and when required (on an ad-hoc basis)
• Regular liaison with management / Board members
• Upkeep of extensive contact list
• Filing as you go
• Working as part of a team of PA’s providing support to each other on a daily basis
• Any other duties as required

The Candidate:

• Experience of working on a busy switchboard desirable
• Experience of booking travel a distinct advantage
• Fluent English
• Ability to manage a busy schedule
• Strong time management and organisational skills
• Strong attention to detail
• Reliability & Flexibility
• Excellent Presentation & Telephone Manner
• Can work on own initiative

• IT Skills  – MS Office Suite (Intermediate)
• Planning & Organising
• Good IT Skills – PowerPoint, word, excel, internet experience for travel a distinct advantage
• Excellent interpersonal and communication skills
• Confidentiality/discretion to the highest standard
• Good Team Player
