Job Summary

 The Executive Assistant is responsible for supporting the CEO and his team with exceptional administration support. The Executive Assistant will be responsible for the day-to-day management of the CEO diary and supporting him and the senior team in a number of areas including communications, management of meetings and the tracking and monitoring of actions accordingly. The ideal candidate will represent the CEO by acting as a liaison with other internal/external executive level personnel. This individual will be able to adapt quickly to meet changing deadlines and priorities. This will require interpersonal skills, flexibility and a high level of attention to detail.

 The Role:

  • Planning, coordinating and ensuring the CEO’s schedule is followed appropriately
  • Attending Executive team meetings as required, including taking minutes and actions in an efficient manner.
  • Preparing presentations along with any internal/ external company related communications as required.
  • Prioritising conflicting needs; handling matters efficiently, proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Board pack co-ordination and printing.
  • File management of all necessary correspondence.
  • Coordinate extensive travel itineraries on an ongoing basis across international time zones.
  • Some financial administration.

 The Person:

  •  This role requires someone who is a high achiever, proactive, professional, good humoured and ambitious.
  • Proven experience as an executive administrative assistant, senior executive assistant or in another similar position supporting a C-Suite level Executive.
  • Experience supporting multiple leaders within a fast – paced environment.
  • Must be comfortable working with people at all levels.
  • Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with meticulous attention to detail.
  • Forward thinker, who actively seeks opportunities and proposes solutions.
  • Strong business and commercial acumen.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including team members, executives and external visitors/clients.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Demonstrate a high level of resilience.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Fluent English.
  • Intermediate (or better) profiency in Word, Excel and Powerpoint.
